Run right over has been contracted by a Marble and
Granite fabricator to create a customer relations
management system for it's Massachusetts warehouse and
fabrication shop. The system will control sales,
billing, work orders, inventory, estimates, marketing and
project management. The company is currently
running QuickBooks and Outlook for billing and contact
management and Excel for project management.Our choice of
software for this job is a customized CRM. We have modified
the software for the unique
needs of this client. One of the challenges we faced was
during the inventory phase we found that stone is
measured in square feet and linear feet. We also found that
after a slab has been cut for a kitchen counter
top, the remnant would have to go back into inventory. We
further discovered that many slabs are linked to
each other by a specific grain pattern and that slabs from a
lot would have to be sequentially numbered to
identify their place in the lot. To automate the inventory
would require a carefully planned modification to the
CRM software. We were able to provide this modification and
currently all sales people are able to view and
select the exact stone their customer wants from the sales
persons desk, simply by opening the CRM and
doing a search under a size, color, texture, thickness or
any of several other search features. Once a stone
has been selected the salesperson can create an estimate,
schedule a template, create a work order and
schedule the cutting and finishing of the stone within
minutes of taking the order. After the job has been
completed an invoice will be generated from the information
in the CRM.
At any stage of the project, all information for that
customer is available to the salesperson on a single page
by simply inputting the customers name, customer number,
phone number, zip code or any other information
available regarding the customer.
As we continue with this project we intend to setup a
computer in the showroom so that waiting customers
can preview the available colors and textures of the stone
in the warehouse without having to actually go into
the warehouse. We will also link the CRM to the accounting
software to automate and track the billing
process.
